Company memory

Your whole company memory, in one folder

A useful agent is not built out of prompts. It is built on top of a folder that states what you sell, to whom, at what price, and what you already promised.

Almost every company already holds all the information an AI assistant would need. The problem is that it sits in a hundred places: quotes in email, prices in a spreadsheet, procedures in two people's heads, contracts in a folder nobody opens. A model cannot go looking there. It can only read what you put in front of it.

Three layers, not one

The usual mistake is to dump every file into one folder and stop there. Raw documents are necessary but they are not memory; they are raw material. Memory appears when someone — in practice, the model — reads them and writes a handful of short pages over the top, stating what actually goes on in the company. It is the structure we build in our AI automation projects.

SalesFinanceTasks
The three layers of company memory. Each one rests on the one below it.

What goes in the middle layer

  • Clients: who they are, what they bought, what you promised and what happened afterwards.
  • Projects: what you delivered, in how long, what went wrong and what you learned.
  • Who does what: the real roles, not the org chart. Who sets prices, who signs, who handles complaints.

You do not write these pages by hand. You ask the model for them after handing it the folder of documents, then you correct what it produced. The corrections are the valuable part: that is where the contradictions inside your own paperwork surface, which nobody notices while each file sits on its own.

A folder of files is an archive. It becomes memory only when someone writes down what it means.

Terms used here

Company memory
A short set of pages stating what you sell, to whom, at what price and how you work — written once and read by every automation.
Agent
An automation that takes a task, reads the company memory and produces a concrete result rather than a conversation.

Where to start

  1. 1Make one folder and move your quotes, contracts and price files into it without sorting them.
  2. 2Ask the model for three pages: clients, projects, who does what. Then correct them.
  3. 3From here on, every new agent starts from those three pages, not from a fresh prompt.
